INTRODUCTION
This Policy governs all services, registrations, participation, and transactions involving MUN International(hereinafter referred to as "MUN International", "organization", "organizers", "we", "us", or "our")
This policy integrates the Terms and Conditions, Service Policy, and Refund Policy applicable to all participants engaging with MUN International in any form, way, or capacity.
By registering for or accepting to attend any MUN International program, you expressly agree to be bound by this Policy.
1. DEFINITIONS
1.1. "Participant" means any individual/institute/entity/Ambassador/Guest/Partner who has agreed to utilize the organizers services by attending a program, submitting a registration form, and/or paying a participation fee for a program.
1.2. "Program" means any/all events organized by MUN International, solely or in partnership, by being directly or indirectly affiliated with the hosts of the program. These programs include but are not limited to: Model United Nations (MUNs), Moot Court Competitions, Youth Leadership Conferences, Workshops, Training Camps, Forums, and any/all related ancillary events.
1.3. "Clickwrap Agreement" means participants' acceptance via affirmative digital action (e.g., ticking a checkbox) indicating consent to this Policy at the time of submitting their application.
2. SCOPE OF APPLICATION
2.1. This Policy applies to all services, registrations, refunds, and interactions involving MUN International globally.
2.2. These terms are binding unless explicitly superseded by a local annex or mandatory legal provision.
3. ELIGIBILITY & REGISTRATION
3.1. Eligibility for our programs is open to all students, professionals, and institutions, subject to program-specific criteria listed on each respective program page.
3.2. Participants below the age of 18 must provide verifiable parental or guardian consent to attend our programs.
3.3. All Participants must provide complete, accurate, and truthful information. Misrepresentation in any way may result in disqualification without refund and subsequent legal action.
3.4. The organizer reserves the sole discretion to accept or reject any application submitted to them.
4. SERVICES OFFERED
4.1. Services provided by the organizers include:
4.1.1. Application processing and delegate profiling;
4.1.2. Academic programming and committee assignments;
4.1.3. Program organization;
4.1.4. Issuance of invitation letters to accepted participants;
4.1.5. On-ground operations, accommodation, certification, and materials;
4.1.6. Logistical arrangements;
4.1.7. Post-event alumni engagement, communications, and follow-ups.
4.2. MUN International utilizes global institutional venues to host their programs in order to provide global exposure and experience to our participants. No monetary payment is required to visit them. These venues are strictly subject to availability; therefore, the organization reserves the right to change venues even at the last moment. In cases where venue changes are the reason for a refund, the standard refund policy under S.7 shall apply.
5. LIMITATIONS ON SERVICES
5.1. The organizers in no certain way guarantee outcomes related to:
5.1.1. Visa acceptance/issuance - This solely depends on the discretion of the respective embassy of the Participant;
5.1.2. Embassy appointment: This is the sole responsibility of the participant. The organizers do not assist in the procurement of embassy appointments.
5.1.3. Flight bookings (unless contracted under S.5.2)
5.1.4. Any third-party service availability;
5.1.5. Insurance coverage: The organizers do not provide any insurance to participants.
All Participants must secure coverage for:
• Travel Medical Insurance;
• Travel delays, cancellations, baggage claims;
• All Liabilities and legal costs.
5.2. Upon request, the organizers may facilitate flight bookings for Participants, either individually or in groups, to attend a program. However, all associated costs shall be borne solely by the Participant. This service is subject to airline availability and does not constitute a guarantee of confirmation, fare stability, or itinerary assurance.
5.3. Participants are solely responsible for:
5.3.1. Visa application submissions;
5.3.2. Health, dietary, and legal compliance;
5.3.3. Travel verification;
5.4. Chargebacks initiated without prior notice are subject to S.16.
5.5. MUN International utilizes global institutional venues to host their programs in order to provide global exposure and experience to all our participants. Utilization of these institutional venues and their visits are strictly subject to availability; therefore, the organization reserves the right to change venues even at the last moment. In cases where venue changes are the reason for a refund, the standard refund policy under S.7 shall apply.
6. FINANCIAL TERMS & PAYMENT CONDITIONS
6.1. All application fees must be paid in full per issued invoice and deadlines.
6.2. Accepted payment methods include credit or debit cards, bank transfers, and approved gateways.
6.3. Payment is confirmed only after verification by our finance team.
6.4. No refunds/credits shall be provided for:
6.4.1. Partial/failed transactions;
6.4.2. Unnotified chargebacks;
6.4.3. Fraudulent claims.
6.5. MUN International reserves the right to impose penalties for bounced payments, chargebacks, or transactional abuse.
6.6. Refundable amounts shall exclude:
6.6.1. Non-refundable amount in all application fees (details mentioned in S.7.2);
6.6.2. Transaction charges including bank, transfer, payment-gateway charges;
6.6.3. Currency conversion taxes and any other ancillary charges.
6.7. Refunds are processed in the originally paid currency. Rate fluctuations of foreign currency are not considered.
7. REFUND POLICY
7.1. Eligibility criteria for all refunds are as follows:
7.1.1. Scholarship Application Fee is non-refundable under all circumstances.
7.1.2. Conference Pass Application Fee is refundable via conference credit only.
7.1.3. The Extended Stay Application Fee is refundable. (Subject to S.7.2)
7.1.4. Refunds must be requested at least 30 days prior to the Program start date.
7.1.5. No refunds will be issued under any circumstances after visa issuance – under special circumstances, conference credit may be granted.
7.2. Extended Stay applications are subject to a refund after the deduction of a non-refundable amount varying by program type mentioned hereunder:
7.2.1. 25% of the extended stay application fee is non-refundable for moot court.
7.2.2. 30% of the extended stay application fee is non-refundable for MUNs.
7.2.3. 30% of the extended stay application fee is non-refundable for all other Programs.
7.3. Refund Request Procedure:
7.3.1. Email with subject:
Refund Request: [Name of Participant] - [Event Name, Year]
7.3.2. Your request must include: Full name, event name, payment receipt, reason for applying for a refund, and additional documents (if applicable)
7.3.3. Refund requests are responded to within 05 business days, with a resolution within 15-30 calendar days.
7.4. Exceptional Circumstances:
7.5. If a program is postponed due to reasons beyond the organization’s control (including but not limited to: Acts of God, War, Pandemics, etc.), in such cases, only a conference credit shall be issued.
7.6. If a program is cancelled due to internal reasons within the organization's control, refunds will be issued as per S.7.
7.7. All data provided in connection with refund requests shall be handled in accordance with our Privacy Policy and will not be shared with third parties unless legally or operationally required.
8. VISA SUPPORT & IMMIGRATION COMPLIANCE
8.1. MUN International provides visa assistance only in the form of supporting documentation such as:
8.1.1. Official Invitation Letter addressed to the Partcipant confirming their registration at our Program;
8.1.2. Letter addressed to the Partcipants' respective Embassy, ensuring the participants' registration and participation.
8.2. The visa application must be completed and submitted by each Participant independently.
8.3. MUN International bears no responsibility for:
8.3.1. Visa rejections, embassy delays, or embassy appointment unavailability;
8.3.2. Deportation, denial of entry, or cancellation of travel plans due to immigration issues.
8.4. No refunds or credits will be granted in the event of deportation.
8.5. Partial refunds or conference credits can be granted in cases of visa rejection and unavailability of embassy appointments.
8.6. Participants are prohibited from overstaying beyond the period authorized by the organizers or the immigration authorities. The organization disclaims all liability for legal or financial consequences incurred due to such conduct.
9. FORCE MAJEURE
9.1. MUN International shall not be liable for failure to perform any obligation under this Policy due to Force Majeure, including but not limited to:
9.1.1. Acts of God;
9.1.2. War or armed conflict;
9.1.3. Natural disasters (earthquake, flood, fire, etc.);
9.1.4. Epidemics, pandemics, or public health emergencies;
9.1.5. Embassy closures or civil unrest;
9.1.6. Any other act beyond the control of the organizers.
9.2. In the event a program is cancelled or postponed due to Force Majeure:
9.2.1. No monetary refunds shall be issued;
9.2.2. Participants shall be granted conference credit valid for a future Event of equivalent value, valid for up to 12 months.
9.3. If cancellation occurs due to circumstances within the organization's control, refunds will be provided as per S.7.
10. INTELLECTUAL PROPERTY & MEDIA USAGE
10.1. All academic content, training materials, and visual or written documents and all other material provided by the organization are its sole intellectual property.
10.2. Unauthorized copying, reproduction, or use of such materials without written permission is strictly prohibited.
10.3. By registering, participants grant the organizers a non-exclusive, royalty-free license to use their photographs, recordings, written testimonials, videos, and other participant content for promotional, academic, or archival purposes.
10.4. Participants may opt out by submitting a written objection at least 14 days prior to the Program.Any objection made after this deadline will not be considered.
11. LIMITATION OF LIABILITY
11.1. The organizers shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from:
11.1.1. Travel disruptions, visa denials, or missed connection flights;
11.1.2. Delays, accidents, or theft during travel or participation;
11.1.3. Medical emergencies or lack of insurance coverage.
11.2. The Participant agrees to waive all liabilities in relation to MUN International.
11.3. If in any case, a liability is proven in favour of the organizers, the total liability of MUN International, whether in contract, tort, or otherwise, shall not exceed the total fees paid by the Participant for the respective Event.
12. INDEMNIFICATION
12.1. Participant agrees to indemnify and hold harmless MUN International and its officers, agents, and affiliates from any claims, demands, liabilities, damages, or costs (including legal fees) resulting from:
12.2. Misrepresentation or fraud by the Participant;
12.3. Violation of local laws or program rules;
12.4. Personal injury or property damage caused by the Participant.
13. INSURANCE REQUIREMENTS
13.1. The organizers do not provide any health, travel, or liability insurance.
13.2. It is the responsibility of each Participant to secure adequate insurance coverage, including but not limited to:
13.2.1. Medical treatment, evacuation, and repatriation;
13.2.2. Travel delays, cancellations, and baggage loss;
13.2.3. Civil liability and legal costs
14. CONFLICTS OF INTEREST & DISCLOSURE (For Evaluators and Judges)
14.1. All appointed judges, trainers, or evaluators must declare any potential conflict of interest prior to participating in Program proceedings.
14.2. Conflicts may include:
14.3. Past affiliation with participating institutions;
14.4. Current employment or supervisory roles;
14.5. Prior mentorship or coaching relationships.
14.6. Failure to disclose may result in disqualification and revocation of judging responsibilities.
15. GENERAL LEGAL PROVISIONS
15.1. Governing Law & Jurisdiction:
This Policy shall be governed by and construed in accordance with the laws of the Islamic Republic of Pakistan. Any disputes shall be subject to the exclusive jurisdiction of the courts of Islamabad, Pakistan.
15.2. Severability:
If any provision is held unenforceable by a court of competent jurisdiction, the remaining provisions shall remain in full force and effect.
15.3. Non-Waiver:
Failure of MUN International to enforce any term shall not constitute a waiver of that term.
15.4. Amendments:
MUN International reserves the right to update this Policy at any time. Continued use of our services after such updates constitutes acceptance of the amended Policy.
15.5. Language Precedence:
In the event of any discrepancy between translated versions and this English text, the English version shall prevail.
16. ANTI-FRAUD & CHARGEBACKS
16.1. Any chargeback initiated without prior notification to MUN International shall result in:
16.1.1. Immediate disqualification from the Program;
16.1.2. Notification to payment processors or banks for fraud investigation;
16.1.3. Legal proceedings where applicable.
16.2. MUN International has zero tolerance for payment fraud, identity manipulation, or use of unauthorized financial instruments.
